Time-Off Requesting Settings

The settings below define the rules and limitations for how users can submit time-off requests, including which time periods are allowed, how far in advance requests can be made, and how balances are deducted across absence years.

Steps to adjust general settings

  1. Open view Administration->Settings in the left menu.
  2. Click on tab 'Time-Off Requesting'.
  3. Adjust settings to your needs
  4. Click button "Save Time-Off Requesting Settings" to confirm

List Of Time-Off Requesting Settings

Setting Description
Requesting Possible In Choose whether users can request time off only for the current year, or also for the next absence year.
Months Before Year Start To Allow Next Year Requests Select how many months before the new absence year users can start submitting time-off requests for it.
Deduct Next Year Requests From

This setting controls how the system deducts balances for requests that fall into a future absence year.

  • Deduct from current year first: All requests—whether for the current or a future year—will be deducted from the current year's balance.
    Example: If a user submits a request in November 2024 for time off in February 2025, the system will still deduct the balance from their 2024 entitlement.
  • Based on request start/end date: The system deducts entitlements according to the year in which the time off actually occurs.
    Example: If a user in 2024 submits a request for time off in March 2026, the request will be shown in the "Used Next Year" column and settled from the 2026 balance.
Allow Multiple Overlapping Requests Enable this option to allow users to submit multiple time-off requests that overlap in date ranges.
Max Future Request Window (in months) Define how far in advance (in months) users can request time off. The system checks the end date of the request against the allowed window.
Example: If the current date is January 2025 and the window is set to 6 months, users will only be able to submit requests with an end date falling before the end of July 2025. Any request that ends after July 31, 2025 will be blocked.
Allow Multi-Day Partial Requests Enable users to submit partial-day requests that span across multiple calendar days (e.g., Jan 5, 10:00 - Jan 6, 13:00). When disabled, partial requests must start and end on the same day.
Blackout Period Enable this option to define a period during which time-off requests are restricted. Use start and end dates to set the range.
